BINGHAM-WAGGONER HISTORICAL SOCIETY RENTAL PROCEDURES

1. RESERVATION OF DATE: A date cannot be reserved for a rental or put on the
master calendar until the deposit of $200.00 has been paid in full and a signed contract received.
2. CONTRACT: The contract consists of the original page and two copies. After the contract
has been signed, the original of the contract and all copies, along with the deposit check, shall be returned to the Estate.
The contract is then signed and dated by the Rental Coordinator.
3. DEPOSIT: A deposit of $200.00 must be paid at the time of the signing of the contract.
Renter is advised that the deposit may not be deducted from the rental charges but it is to be returned interest free,
to Renter subject to full compliance with the terms of the Rental Agreement. If the Board of Directors determines that
damages have occurred during a function, this deposit will be used to cover the cost of clean-up, repair, or replacement
and if it is not adequate, the excess will be charged to the Renter.
4. RULES OF RENTAL: The Estate is available for rental for six (6) hours during the eight
(8) hour time frame of 5:00 p.m. to 1:00 a.m. during the months of April through December. The six hours includes set-up
and clean-up. The Estate is also available for day and evening rentals during the months of the off season, January,
February, and March, when the House is closed to tours. Any additional time beyond the six hour rental is chargeable
at the rate of $100.00 per hour in increments of $25.00 for each 15 minutes. No children's parties allowed. Renter
is responsible for ordering port-o-lets for all outside functions. Table and chairs cannot be removed from the
Carriage House.
5. ATTENDANTS: When the House and the north side of the Carriage House are rented for the same
event, there must be an attendant to the coordinator to manage both areas. Should there be more than one-hundred persons
attending a function, there will be an/or attendant(s) to aid the coordinator in the management of the rental.
6. RENTAL RATES: The rental rates for a six (6) hour period are as follows:

7. RENTAL FEE: The rental fee may be paid by check or money order made payable to Bingham-Waggoner
Historical Society. It may be given to the Rental Coordinator or mailed to the Estate at Post Office Box 1163, Independence, MO.
64051. The rental fee must be paid, in full, thirty (30) days prior to date of the function.
YOU WILL BE CHARGED $25.00 FOR ALL CHECKS RETURNED TO US BY YOUR BANK MARKED "INSUFFICIENT FUNDS'.
8. HOUSE RULES:
No dancing in the House.
No smoking or substance in any facility.
No rice or confetti can be used in the House, Carriage House or
grounds. Bird seed permissible outside only.
No Burning of candles or luminaries allowed except on the concrete
driveway or sidewalks.
No staples, tacks, nails, wire or tape allowed anywhere.
No umbrellas or stands to be used by photographers.
9. CANCELLATION: In the event of a cancellation, no refund will be issued.
10. CATERERS AND MUSICIANS: Only Board approved caterers and musicians are allowed. A caterer must
be licensed and insured. D.J.'s must be notified that the volume of music played will be determined by the Rental Coordinator.
The volume MUST be turned down at 10:30 p.m.

Caterers and musicians may apply to the Board of Directors to be added to the Approved list up to six (6) weeks prior to the event.
11. BEVERAGES: Only carbonated beverages, white and rose' wine, coffee, tea or punch may be served in the House.
Carbonated beverages must only be opened in the kitchen. Beer and wine may be served on the grounds. No other liquor is allowed
on the Estate. No cash bars are allowed at any time on the Estate.
12. DELIVERIES: Deliveries must be scheduled in advance with the Rental Coordinator. Delivery vehicles
for the House must unload in the west parking lot or the driveway east or south of the House. Supplies must be taken to the east door
or the kitchen door. Deliveries to the Stable and Carriage House must unload on the west side of the driveway. No vehicle
allowed on the brick sidewalk between the Stable and Carriage House.
13. FURNISHINGS IN HOUSE: With the exception of the dining room chairs, nothing in the House can be moved
without prior arrangement with the Rental Coordinator. The stove, refigerator, sink and the six (6) foot folding table in the
House may be used by the Renter. The wooden drop leaf table in the kitchen cannot be used.
Any additional equipment required must be contracted for and furnished separately by the Renter.
14. CLEAN-UP FACILITY: All dishware, service ware and any other equipment must be provided by the
caterer or Renter. All trash must be bagged and placed by the Renter in the dumpster that is provided in the west parking lot
within the rental time frame. The Renter, or its representative must "walk through" the facility with the Rental Coordinator before leaving the Estate.
15. VIOLATIONS AT FUNCTIONS: Upon the Rental Coordinator's determination that privileges are being abused
and the terms of the contract violated, the Rental Coordinator has the right to terminate the use of the Estate, or any portion
thereof, and has been authorized by the Board of Directors to call the police.
16. SUPERVISION: Representatives of the Bingham-Waggoner Society will be present at all private functions.
17. HISTORICAL SITE: All functions must be adapted to the existing historic environment.
18. DISCLAIMER: Neither the Bingham-Waggoner Board of Directors, the City of Independence, or its
agents or representativies shall be responsible for any injuries, rental or personal property lost, damaged or
stolen on the Estate.
NOTE: FAILURE TO COMPLY WITH THE RENTAL PROCEDURES AS OUTLINED ABOVE WILL RESULT IN FORFEITURE OF RENTER'S DEPOSIT.
The Bingham-Waggoner Estate, 313 W. Pacific, is open from 10 AM to 4 PM Monday through Saturday; 1 PM to 4 PM Sundays.
Admission is $5.00 for adults; $4.50 for seniors; children 6 to 16, $2.00.
Annual membership of $15.00 allows free admittance year round.
